Data Retention Policy
=====================

easyDNS Technologies Inc. (“easyDNS”, “we”, “us”, “our”) is committed to retaining personal information and other data only for as long as necessary to fulfill the purposes for which it was collected, to provide our services, to comply with legal and regulatory obligations, to resolve disputes, and to enforce our policies and agreements.

This Data Retention Policy applies to all customers worldwide and complements our Privacy Policy. It is governed primarily by Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), as well as applicable requirements from domain registries (ICANN, CIRA, and others) and other laws that may apply depending on your location.

Retention periods are determined based on the type of data, the purpose for which it was collected, and any legal or contractual obligations. We do not retain data longer than necessary.

**1. Retention Periods by Data Type**
-------------------------------------

- **Account Information (name, email address, contact details, account preferences, login history):**Retained for the duration your account is active.
    After account closure, we retain it for a reasonable period (typically up to 90 days) to handle any final billing, support requests, or dispute resolution, after which it is deleted unless required for legal reasons.
- **Billing and Payment Information (invoices, transaction records, tax-related data):**Retained for 7 years following the end of the relevant tax year, as required by Canadian tax and financial regulations (e.g., Income Tax Act requirements).
    Full payment card details are not stored by us; they are handled securely by third-party payment processors.
- **Domain Registration Data (registrant, administrative, technical, and billing contact details submitted for domain registration):**Retained indefinitely or for the duration required by ICANN, CIRA, or other applicable registry policies to maintain accurate registration records, support dispute resolution (e.g., UDRP proceedings), and comply with registrar accreditation obligations.
    This data is considered public Whois information (or redacted where privacy services are applied) and is not subject to standard deletion requests under this policy.
- **Server and Access Logs (IP addresses, browser type, device information, access timestamps, DNS query logs, email delivery logs):**Retained for 30-90 days for security monitoring, abuse detection, performance troubleshooting, and fraud prevention.
    Certain logs (e.g., those needed for compliance or investigations) may be retained longer if required by law or in response to a specific incident.
- **Support Communications (tickets, emails, chat transcripts):**Retained for the life of your account plus a reasonable period after closure (typically 1-2 years) to allow for reference in future support issues or disputes.
- **Two-Factor Authentication (2FA) Data (phone numbers or authenticator details):**Retained only while active for your account. Deleted upon account closure or when you disable 2FA.
- **Other Usage and Technical Data (e.g., aggregated analytics, service usage patterns):**Retained as long as necessary for the purpose collected (e.g., improving services) and usually in anonymized or aggregated form. Detailed records are typically deleted within 90-180 days unless needed for specific legal or operational reasons.

**2. Dormant or Inactive Accounts**
-----------------------------------

If your account remains inactive (no login, no service usage, no payments) for an extended period (typically 24-36 months), we may classify it as dormant. We may then:

- Send a notification of potential deletion.
- Delete the account and associated data after providing reasonable notice, unless you respond to reactivate.

**3. Legal and Regulatory Exceptions**
--------------------------------------

We may retain data beyond the normal periods if:

- Required by law, court order, or regulatory authority (e.g., ICANN audit requirements, tax audits, law enforcement requests).
- Necessary to defend against or pursue legal claims.
- Required to investigate or resolve confirmed abuse, fraud, or security incidents.

**4. Deletion Requests**
------------------------

You may request deletion of certain personal information by contacting privacy@easydns.com.
We will review and process your request in accordance with applicable law (e.g., PIPEDA, GDPR where relevant).
Note: - We cannot delete data that must be retained for legal, tax, or registry obligations (e.g., billing records, domain registration data).
- Deletion of account data may result in permanent loss of access to services and domains under your account.

**5. Changes to This Policy**
-----------------------------

We may update this Data Retention Policy to reflect changes in law, services, or business practices. Material changes will be posted on our website with notice via email or account notification where appropriate. Continued use of our services constitutes acceptance of the updated policy.

**6. Governing Law**
--------------------

This Policy is governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein.
